Private AI means the AI models run on a server your company owns, in your own office or server room. Staff use it much like any chat tool, but the documents it reads stay on that server.

It suits many companies, though not every one, and cloud AI services are a good choice for plenty of work too. This guide helps you decide which fits, and what to check before you commit.

When private AI suits a company

Private AI tends to suit companies whose daily work runs on their own records: purchase orders, supplier bills, price lists, stock and staff files. When agents work with those records every day, it helps to have the AI sit right next to them, on a server you control.

It also suits companies with several departments ready to use AI, that prefer one fixed project cost, and that like to own the system outright. If your team is small and mostly wants help with general writing or research, a cloud AI plan may be the simpler place to start. Many companies use both, each for the work it suits.

What to check first

Start with the work, not the technology. Which departments repeat the same checks every day? Which systems hold the records they need: accounting software, ERP, email, a NAS or file server, spreadsheets? Does each one offer an official way for other software to connect?

Then think about people and place. Who will approve what the agents prepare? Who will be the project contact? Is there a cool, secure spot with power for a server, and a local IT vendor who can check it on site? Branches can connect through a secure private link (VPN), so they do not need servers of their own.

Private AI has a different cost shape from a monthly subscription: a project fee, the server your company buys, and optional support after go-live. At Customnex the project fee is a fixed price by scope, with no per-user fees and a permanent licence, so adding staff does not add licence cost.

Questions to ask any vendor

Whichever route you choose, ask the same questions. Where is our data processed and stored? What does the AI connect to, and does it ask before it saves or sends anything? Who can see what, and is every action recorded? Who owns the server and the licence? What is left behind if support ends?
